What You’ll Do
Project Coordination
- Assist project managers with project tracking, scheduling, and workflow management
- Monitor project progress, track key deliverables, and support adherence to schedules and budgets
- Coordinate project meetings, including scheduling, agenda preparation, and meeting minutes
- Facilitate communication between internal teams, clients, and external stakeholders
Document Control & Quality Management
- Maintain accurate and organized project records and documentation
- Manage version control for drawings, reports, RFIs, submittals, and closeout documents
- Proofread and format technical documents for consistency, grammar, and quality standards
- Track and consolidate input from multiple contributors into clear, complete deliverables
Operational Support & Process Improvement
- Support project teams with administrative and coordination needs
- Assist in developing and maintaining project tracking tools and reports
- Help standardize templates, workflows, and best practices across projects
- Identify opportunities to improve efficiency and project execution processes
What You Bring to the Team
Education:
Education: Bachelor’s degree in Construction Management, Engineering, Architecture, Business Administration, or a related field preferred, or equivalent relevant experience.
Experience:
- 5-10 years of project coordination experience, preferably in the AEC industry
- Experience supporting projects across multiple phases, from planning through closeout
Certifications (Preferred)
- Project Management certification (PMP, CAPM) is desirable.
Skills & Capabilities:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat Pro
- Familiarity with tools such as Bluebeam, Deltek VantagePoint, MS Project, Smartsheet, Procore, or similar platforms
- Strong attention to detail and document quality
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Ability to work independently and collaboratively in a team environment
- Proactive problem-solving mindset and commitment to excellence
Work Environment & Perks
- Minimal travel required
- Hybrid Work Schedule: 40 hours per week. In office Monday and Tuesdays each week and two additional days of your choice each month, the other days can be remote.
